Schedule: Monday-Friday 8:30am-3:00pm availability (25 hours/week)

Schedule varies depending upon business needs. Must be willing to travel.

As a Specimen Collector: 

The Administrative Specialist provides high‑level administrative, operational, and organizational support to ensure the efficient functioning of day‑to‑day activities. This role is responsible for managing workflow, coordinating communications, organizing information, and supporting projects across the department or organization. The ideal candidate is detail‑oriented, proactive, resourceful, and able to handle multiple priorities with professionalism and discretion.

Administrative & Office Support

• Manage calendars, schedule meetings, and coordinate appointments and logistics.
• Prepare, proofread, and edit correspondence, reports, presentations, and other documents.
• Maintain electronic and physical filing systems to ensure accuracy, accessibility, and confidentiality.
• Handle incoming calls, emails, and inquiries, responding or routing as appropriate.
• Order and maintain office supplies, equipment, and materials.

Project & Process Support

• Assist with planning and execution of department or cross‑functional projects.
• Develop and maintain tracking sheets, reports, and documentation.
• Support process improvements by identifying gaps and recommending enhancements.
• Coordinate travel arrangements and prepare travel itineraries and expense reports.

Data & Record Management

The VHA HEFP Special Engineering Program (SEP) manages nationally prioritized, high-impact capital initiatives, including the Electronic Health Record Modernization, Facility Recapitalization, and Targeted Infrastructure programs. SEP establishes national priorities to ensure consistent, enterprise-wide alignment and execution. Gritter Francona is looking for an Informatics Architect/Business Intelligence Developer to support this potential project.

The VHA HEFP Special Engineering Program (SEP) manages nationally prioritized, high-impact capital initiatives, including the Electronic Health Record Modernization, Facility Recapitalization, and Targeted Infrastructure programs. SEP establishes national priorities to ensure consistent, enterprise-wide alignment and execution. Gritter Francona is looking for a Construction System Engineer to support this potential project.

Schedule: Full-Time | Monday-Friday, 7am-4pm

Candidates must have the ability to travel at short notice hours will vary by clinic being covered. Coverage in Missouri, Arkansas, Oklahoma, Texas, Mississippi, and Louisiana.

SEP establishes national priorities to ensure consistent, enterprise-wide alignment and execution. Gritter Francona is looking for a Schedule Analyst to support this potential project.

Key Responsibilities and Experience Needed:

• Experience managing Information Technology Infrastructure and/or Physical Infrastructure related projects.
• Well-versed in life cycle and project management methodologies.
• Experience tracking and reporting capital project scope, schedule, cost parameters.
• Experience identifying, tracking, mitigating, and reporting of risks and issues.
• Experience with Microsoft Office, Microsoft Project, and Microsoft Project Web App and other scheduling software.

Requirements

• Bachelor of Science degree in project management, engineering, IT, construction management, or related field
• At least 5 years of experience managing schedules for projects/programs.

• Project Management Professional (PMP) highly preferred

Requirements

• Must meet at least ONE of the following:
• Bachelor of Science degree in a relevant medical, engineering or science discipline and minimum 10 years of experience

• Master of Science degree and 5 years of program management experience

• 3 years VA program management experience and 5 years' experience

• Project Management Professional (PMP) highly preferred
